Lingnan Scholars Guide

Adding conference-related outputs

This guide shows how to input conference-related research outputs into your Lingnan Scholars profile in general, including papers, posters, presentations or abstracts.

 

Step-by-Step guide: Required information on Conference Records

  • Click add content on the top right corner (Fig.1)

Output types

Appropriate conference template

Conference paper (paper accepted for presentation at an academic or professional conference, and published in conference proceedings) Under “Research Output > Book Chapters | Papers in Conference Proceedings”, choose either:
  • Conference paper (refereed), or
  • Conference paper (invited) (Fig.2)
Other conference paper (paper presented at an academic or professional conference) Under “Research Output > Other Conference Contributions”, choose:
  • Conference paper (other) (Fig.3)
Other conference contributions in non-paper format (e.g. poster/abstract/presentation) Under “Research Output > Other Conference Contributions”, choose either:
  • Poster
  • Abstract
  • Presentation (Fig.4)
Conference contribution working in progress and is not yet accepted nor presented Under “Research Output > Other Conference Contributions”, choose:
  • Conference (in progress) (Fig.5)
 
  • Conference paper (published in proceeding)

  • Conference paper (not in any proceedings)

  • Other conference contributions in non-paper format (e.g. poster/abstract/presentation)

  • Conference contributions working in progress, and has not been accepted nor presented

Review each section to complete the template. Sections marked with * are mandatory. Common fields are as follows:

 

i) Type

  • Indicate whether it is peer-reviewed (Fig.6)

ii) Publication status

  • Provide Year and Month.
  • Default publication status is Published, change if necessary. (Fig.7)

iii) Publication information

  • English is the default language. Change to other language such as Chinese (Simplified) or Chinese (Traditional) if necessary. Enter the Title of your paper and complete other fields as appropriate. (Fig.8)

iv) Contributors and affiliations

  • Your name should appear by default in Contributors and affiliations section. Use Add person to add additional authors.
  • You may edit/update the affiliation detail by clicking “Edit” icon. (Fig.9) Fill in the affiliation detail in accordance to what’s displayed in the article.

v) Publication managed by

  • Your department should appear by default in this section. (Fig.10)

vi) Host publication

  • The host publication section includes the title of the conference proceedings or the book in which the paper is published. Complete relevant fields as appropriate. (Fig.11)

vii) Series Information

  • Click Add publication series to enter corresponding fields. (Fig.12)

viii) Electronic version(s), and related files and links

  • Click Add electronic version (file, DOI, or link) to upload the PDF file for the permitted version of your work, and/or add the DOI/link to the electronic version of it.
  • Add conference programme/schedule or any other related files/links via “Add other link” or “Add other file” option. (Fig.13)

Providing sufficient detail and document will help speed up the Library’s record validation and enhancement process. Only validated records will be displayed on the Lingnan Scholars portal.

 

ix) Keywords

  • Fill in article keywords (if any). (Fig.14)

x) Note

  • Fill in remark/note/funding information (if any). (Fig.15)

xi) Event

  • Click “Add event” to enter the conference information. Click “Search” to find the existing one or click “Create new” if there is no correct match. Create new:

  • Type: Choose the appropriate event type, e.g. seminar, conference, etc.
  • Title: Enter the conference title.
  • Start date / End date: Enter the start and end date of the conference.
  • Complete other fields as appropriate. (Fig.16)
 

xii) Relations

  • Add relations by linking your record with related research outputs/activities/prizes/press/projects.(Fig.17)

xiii) Visibility

  • Manage the visibility of your record if you do not wish your conference paper to be made public. (Fig.18)

Only validated records will be displayed on the Lingnan Scholars portal.

 

xiv) Save the record and submit it for validation

  • Change the record status to and click
  • Library staff will enhance and validate your record to make it publicly accessible on the Lingnan Scholars portal. (Fig.19)
